Program Coordinator, THRIVE Center
The Northwestern University Institute for Sexual and Gender Minority Health and Wellbeing is a university-wide institute dedicated to fostering research that improves the health and wellbeing of the sexual and gender minority communities. It currently has multiple NIH- and foundation-funded studies and actively collaborates with community-based organizations to conduct research and translate findings into interventions. It is directed by Dr. Brian Mustanski. This position will be part of the administrative team to support administrative operations at ISGMH.
This position provides management for an education, research &/or operations program/project, recommending goals, assessing feasibility and ongoing performance & providing day-to-day oversight of administrative & operational functions.

The Institute for Sexual and Gender Minority Health and Wellbeing (ISGMH) at Northwestern University was created in 2015 to be a leader in research that improves the health and wellbeing of the sexual and gender minority (SGM) community and foster understanding of the development and experience of SGM people. The institute provides unique opportunities for high-level research and training for the next generation of SGM scholars, and it utilizes innovative modalities to disseminate knowledge widely to the SGM community, the public at large, scholars, service providers, educators, and policymakers. The THRIVE Center for Translational Science in Sexual and Gender Minority Health is a group of faculty and staff at ISGMH that focuses on conducting research to better understand health disparities impacting SGM people and translating those findings into interventions and programs to address these health issues.
Provides strategic and tactical support to THRIVE Center leadership and Institute leadership and administration with calendar management, project administration management, and implementation of events and programming (e.g., THRIVE Center programing, National LGBTQ Conference, Summer Intensive Program). Supports efforts to develop, implement, and evaluate Center and Institute programs, which may include disseminating application materials, evaluating applications, and arranging travel. Recommends and creates long- and short-term administrative goals and operational plans. Recommends new policies or changes in administration of projects and programs. Collaborates with and supports Center and Institute leadership by developing and implementing methods for assessing impact of research-related activities, initiatives, and programming. Conducts financial transaction management. Collaborates with Institute communications team on developing an internal and external communications strategy.
This is a term position with an end date of 8/31/2025. Opportunity for renewal will be based on performance and available funding.

Specific Responsibilities:
Administration
- Manages day to day operations.
- Ensures that program/project mission, values, guidelines, policies & procedures are implemented & maintained.
- Manages design and development of program databases; compiles & analyzes data; prepares reports.
- Reviews processes and recommends changes to incorporate state-of-the-art technology as appropriate into administrative, recruitment, marketing, and educational components.
- Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives.
- Acts as liaison to IT to ensure technology systems are properly installed & maintained.
Budgets & Financial
- Enters individual &/or summary of transactions into journals &/or general ledger or other NU enterprise system.
- Reviews; ensures approval based on alternatives regarding practice & policy; analyzes and classifies transactions in accordance with established chart or coding of accounts; creates new accounts; prepares, processes, reconciles & provides receipts (as appropriate) for transactions.
- Processes transfer &/or appropriation charges & may balance &/or close accounts.
- Troubleshoots problems; performs vendor/account research as needed; obtains additional information or provides instruction & guidance by phone, US- or e- mail from customers/vendors; corrects or escalates.
Communication, Outreach & Recruitment
- Creates and nurtures relationships with organizations to develop a network of enthusiastic organizations engaged via active participation in the success of program/project.
Evaluation
- Coordinates the collection, analysis & reporting of required information for surveys, review documents, public information documents, etc.
Events
- Develops plans and arranges meetings, workshops, events, etc. designed to exchange information, promote research objectives, and to build internal and external relationships within NU.
Faculty Support
- Arranges colloquium & seminar coordination, & faculty travel planning.
Grants & Contracts
- Prepares proposals; provides administrative guidance for grant preparations including budgets and justifications.
- Identifies grant funding.
Program Development
- Reviews programs/projects to increase efficiencies to support growth.
- Leads program/project updates and improvements.
Regulatory Compliance
- Prepares documentation as required.
Strategic Planning
- Participates with area/unit senior staff in the conceptualization, development and presentation of materials used in functional operations.
Miscellaneous
- Performs other duties as assigned.
Minimum Qualifications:
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
- 1 year program/project administration or other relevant experience.
Minimum Competencies: (Skills, knowledge, and abilities.)
- Demonstrates initiative and follow through.
- Strong organizational skills / attention to detail.
- Highly proficient with Microsoft Office suite and overall computer skills/technical aptitude.
- Ability to identify, research, and solve problems.
- Effective communication skills (written and verbal).
- Ability to prioritize and balance competing priorities.
- Ability to multi-task and work in a fast-paced environment.
- Experience or interest working on LGBT issues.
Preferred Qualifications:
- 1 year research administration + 2 year HR or administrative support experience in a research environment (total of 3 years).
- Knowledge HR processes and coordination at NU.
- Knowledge of NU IT systems.
Preferred Competencies: (Skills, knowledge, and abilities)
- Knowledge of HR policies and trends in hiring.
- Experience working in public health, psychology, and/or medical research.
